# Instagram CRM Guide: Portable, Permissioned Contact Data

> DM Now can save contacts from eligible matched interactions and show completed email, phone or name captures on a separate leads board. Contacts do not include conversation history or source-post attribution; completed leads store source type and keyword, while Activity retains interaction context. CSV export is available for lawful, consent-aware use.

Instagram controls its platform and distribution. Exportable contact data can reduce dependence on one inbox, but “ownership” still comes with consent, privacy, retention and delivery obligations. A useful CRM begins with accurate expectations about what is captured.

## Why isn't the Instagram inbox enough?

The inbox is a message stream, not a structured lead board. As volume grows, it can be difficult to review which requests became completed lead captures or apply a consistent manual stage.

DM Now records a smaller set: matched contacts, completed configured lead fields, source type, keyword and a manual pipeline stage. Activity holds event-level context. There is no DM Now conversation inbox, source-post field on the CRM lead, purchase attribution or automatic “giveaway entrant” segment.

## How does engagement become a contact automatically?

Manually, it doesn't — nobody copies commenter handles into a spreadsheet at scale. The capture has to be a side effect of something already happening, and that something is the automated reply.

In [DM Now](/pricing), eligible interactions that match an active automation can create an account-scoped contact subject to monthly limits. [Lead generation flows](/features/lead-generation) can request configured email, phone or name fields. Meta permits one initial private reply to an eligible post or reel comment within seven days, or to a live comment while the broadcast is active. Further messages require a recipient response and must then stay inside the 24-hour messaging window. See Meta's [official private-replies documentation](https://www.postman.com/meta/instagram/request/23987686-189d7215-22b3-403f-b2f5-a46c7e66a514).

Actual volume depends on matching, moderation, quotas, account pacing and Meta acceptance. Review sent, skipped and failed events rather than assuming every interaction became a record.

## What does a creator actually do with a CRM?

**Review captured intent.** Move completed leads through manual stages and continue conversations in Instagram. DM Now cannot identify who bought, booked or did not convert, and a saved contact is not permission for an unsolicited follow-up.

**Review acquisition context.** Lead source type and keyword provide limited context; Activity contains media IDs. DM Now does not connect those records to orders or customers, so conversion attribution needs your destination analytics.

**Export permitted data.** A CSV can support migration or consented use in another system. Participation or an Instagram interaction alone does not authorize email marketing or audience uploads.

**Organize completed leads.** The board supplies manual New, Contacted, Qualified, Won and Lost stages. It is not a conversation tracker and does not automatically update from Instagram replies or checkout events.

## What should you look for in an Instagram CRM?

Evaluate **capture rules**, **data minimization**, **consent records**, **source detail**, **pipeline behavior**, **export limits**, **deletion workflows**, **access controls**, and **pricing**. No one criterion makes a CRM suitable for every creator or jurisdiction.

DM Now provides built-in Contacts, a lightweight completed-leads board and CSV export. Free permits 1,000 new contacts monthly; Pro removes the application contact quota. Meta constraints, consent duties, the [Privacy Policy](/privacy) and export limits still apply.

## Where do you start?

Start with one narrow keyword reply. Eligible matching interactions can create Contacts, while the CRM leads board remains empty until a configured capture completes. Review Activity, consent and retention before expanding the workflow.

## Frequently asked questions

### What is an Instagram CRM?

It is a contact and lead system fed by eligible matched interactions. DM Now Contacts include identity and basic attributes; completed Leads add captured fields, source type, keyword and a manual pipeline stage. Conversation history and source-post attribution are not stored on those records.

### Why do I need a CRM if I have followers?

A voluntarily provided, lawfully used email or phone number can support an off-platform relationship. A saved Instagram contact alone is not permission for an email campaign or unsolicited DM, and no contact database is immune to consent, retention, delivery or platform constraints.

### How does DM Now capture contacts automatically?

An eligible interaction that matches an active automation can create a deduplicated contact subject to plan limits. A configured lead step can then request email, phone or name; the lead appears only after all requested fields are supplied. Unmatched interactions are not universally captured.

### Can I export my contacts from DM Now?

Yes. Contacts and completed leads have bounded CSV exports. Export does not create consent: use the data only for disclosed and lawful purposes. Account deletion follows the Privacy Policy’s retention, verification and legal-exception process rather than promising immediate removal in every system.

### What should I tag and track for each contact?

Track only fields you need and have a lawful basis to retain. DM Now completed leads provide source type, keyword and a manual pipeline stage; media context remains in Activity. Booking, purchase and customer status must be reconciled in the destination systems.
